Director of Operations
Hours: Full Time at 40 Hours per Week
Job Description: The Director of Operations will be responsible for ensuring that we embody our mission, vision, and values within all our organizational and operational needs. They are instrumental in bringing many moving parts together to ensure departmental cohesiveness within this highly-relational organization. They will create and cultivate best practices for better operational health across all ministries. They offer comprehensive administrative support to the Executive and Assistant Directors and help bring project and event ideas to fruition.
Job Responsibilities: The Director of Operations position reports to the Executive and Assistant Directors with responsibilities including the following:
Executive and Administrative Support-

Regular Planning & Debrief with Director over daily meetings and project completion.

Provide high-level administrative support for the Executive Director, including managing calendars and communications, coordinating meetings, and ensuring efficient scheduling and prioritization.

Draft, review, and distribute correspondence, communications, presentations, reports, and other documents.

Organize and prepare for meetings, including setting agendas, coordinating logistics, and preparing meeting materials.

Retrieve information as requested from records, emails, minutes, and other related documents; prepare written data summaries when needed.
Prioritization and Project Management-
- Work alongside Executive Director & Communications coordinator regarding
“campaigns projects” including potential social media projects, website projects, and giving campaigns. - Other duties as requested or assigned per the Director (Executive or Assistant).
- Track project milestones and deliverables, ensuring timely completion and effective communication and collaboration among team members.
- Conduct research and gather information as needed to support decision-making processes.
- Help create written processes for the company and train team members.
- Map, analyze, optimize, and establish processes for teams to work together more effectively and reach shared goals.
Office Management and Confidentiality-
- Work to continually grow and maintain the integrity of the Organization.
- Create and format documents to Mission Possible standards as requested. Provide proofreading when necessary.
- Oversee the administrative functions of the office, including maintaining supplies, business documentation, equipment, and facilities.
- Handle sensitive and confidential information with discretion and integrity.
Development and Fundraising-
- Assist in planning, coordinating, and executing strategic initiatives and special projects including fundraising events, campaigns and donor stewardship activities.
- Manage grant reporting processes, ensuring timely and accurate submissions.
Qualifications and Core Competencies:
- Seeking a highly organized and detail-oriented self-starter. Must be flexible and positive.
- Proven experience in operations management, preferably in a nonprofit or similar organization.
- Experience in fundraising, database management, project management, and event coordination.
- Excellent organizational and leadership skills with the ability to multitask and prioritize.
- Exceptional communication and interpersonal skills.
- Basics in Accounting, Quickbooks, and Excel.
- Flexible and adaptable to be able to jump in and out of different topics and projects daily.
- Good attitude and willingness to work within a team for a common goal
- Continuous learner, adaptable, and has a willingness to learn new work and concepts. The Executive Director works hands-on in many departments and will need you to follow behind and keep up with what is going on to help be a solid support system.
